Privacy Policy

Mind Circuit™ gives teachers short classroom routines — Micro-Resets™ — that help a class settle and return to a lesson. This page explains what we collect when you use it, why we collect it, and what you can ask us to do with it.
Who we are
Mind Circuit is the data controller for the information described here. You can reach us at erin@mindcircuitapp.org about anything on this page.
Where a school or district has contracted with us, we act as a service provider under their direction for student information — see Schools and student data.
What we collect
Information you give us
| Account details | Your name and email address. A password, stored only as a one-way hash — we cannot read it. |

| Classroom details | Your school, classroom name and grade band, so resets can be matched to the age you teach. |
| Agreement records | The date you accepted these documents and which version you accepted, so we can show what you agreed to and when. |
Information created as you use the product
- Which resets you ran, when you ran them, and what you recorded about how the class responded afterwards. This is what makes Class Insights work.
- Resets you save as favourites, and your reset history across terms.
- Basic technical information every website receives: IP address, browser and device type, and the pages you visited.
If you sign in with Google or Clever
We receive your name, email address and an account identifier from that provider. We never receive your password for it.
If you buy a subscription
Payments are processed by Square. Card numbers are entered directly into Square’s own secure fields and never reach our servers, our logs or our database. We store only what is needed to show you your billing: the card brand, its last four digits, its expiry month and year, and a token Square gives us that is meaningless outside our account.
Cookies and analytics
We use a small number of essential cookies to keep you signed in and to remember your cookie choice. These are always on, because the site cannot work without them.
On our public pages — the website, sign-in and sign-up — we also use:
- Google Analytics, which counts page views so we can see which pages are useful.
- Microsoft Clarity, only if you accept cookies. It records how visitors move through our public pages — clicks, scrolling and mouse movement — so we can find parts of the site that confuse people. Text typed into form fields is masked.
Neither runs inside the Mind Circuit app after you sign in, so your classroom work is never tracked or recorded.

Schools and student data
Mind Circuit is used in classrooms, which means two US laws apply and shape how we behave.
Under the Family Educational Rights and Privacy Act (FERPA), where we handle information from a school’s education records we do so as a school official under that school’s direct control. We use it only for the purpose the school engaged us for, we do not re-purpose it, and we return or delete it when the school asks.
Under the Children’s Online Privacy Protection Act (COPPA), where a school provides consent on behalf of parents for students under 13, that consent covers use for educational purposes only.
We do not sell personal information, and we do not use student information for advertising, ad targeting, or building profiles for any purpose other than providing the service.
Who else touches your information
We use a small number of processors, each for one job:

We may also disclose information where the law requires it, or to protect the safety of a student or another person.
How long we keep it
- Your account information for as long as your account is open, and for a short period afterwards so an accidental deletion can be undone.
- Payment records for as long as tax and accounting law requires. These are financial records and are not deleted when an account is, though they stop being linked to an active profile.
- Analytics data according to the retention set in Google Analytics and Microsoft Clarity.
Your choices
- See and correct your details from your account settings at any time.
- Ask for a copy of your information, or ask us to delete it, by writing to erin@mindcircuitapp.org.
- Accept or decline optional cookies, and change that choice whenever you like.
- Unsubscribe from non-essential email using the link in any of it.
If you are a student or parent, requests about a student’s information should go through the school — the school holds the record and we act on its instructions.
Security
Connections are encrypted in transit. Passwords are stored as one-way hashes. Card numbers never reach our systems. Access to production data is limited to staff who need it. No system is perfectly secure, and we will tell you and the affected schools promptly if something goes wrong.
Changes to this policy
If we change something material we will update the date at the top and, where the change affects what we collect, ask you to review it. Continuing to use Mind Circuit after a change means you accept the updated policy.
